Event management

Website's calendar of events, meetings and other important dates is controlled with the Teamware Pl@za Event management service. Authorized users can easily publish events in targeted areas of the website such as subsites, extranets, intranets, online communities and workspaces.  In addition, group-specific events published will only show in the calendars of members in those groups. Main website calendar integrates all events to public and registered users.

Calendars can display events in a calendar or listing format, with options to select the number of entries (e.g. home page calendar).  Calendars can be filtered by types of events and listings of all future and past events can be accessed on the website.

Publishing events

Events are displayed with simple few fields such as title, date and time, place and short description, or with a long full page event description using formatted content and pictures. Describing an event may actually take a form of an independent website with its own URL such as event.sitename.com or short URL such as www.sitename.com/event  as needed.  In addition, events can have document folders for distributing event material and discussion forums to facilitate pre- and postevent conversations.

Recurring events

The system supports recurring events.  A monthly meeting needs to be created only once.  By setting the frequency and ending rules, all events will be published automatically in the calendars.

Online registrations

Events can be set to have online registrations.  Openning and deadline times for attendee registrations and settting attendee limits are controlled by event organizers. Email distribution lists are available for both registered attendees for notifications and announcements and also for potential attendees not yet registered from the targeted groups for sending registration reminders.
